Publisher Organization Settings
Your organization settings control how your publishing house appears on Covered including your profile, contact information, social links, and what booksellers and librarians can find when they look you up. This article covers everything in the organization tab of your settings.
Who can do this: Org Admins.
To get there: go to Organization → Settings → Profile.
Basic Information
This section covers the core identity fields for your organization.
Organization Logo
Upload the logo that will appear on your public profile, catalog listings, and anywhere your organization is shown on the platform.
Accepted formats: JPG, PNG, or GIF. Maximum file size: 1MB. For best results, use a square image because the logos will display in a square crop.
Click the upload area (or drag your file onto it) to add or update your logo.
Organization Name
Your organization’s name as it appears across Covered. This field is set during account setup and is read-only. If you need to update your organization name, contact Covered support.
Organization Type
Shows the account type registered to your organization (e.g., Publisher). This is set during onboarding and cannot be changed from settings. Contact Covered support if your organization type needs to be updated.
City and State
Your organization’s primary location. This appears on your public profile and helps booksellers and librarians understand where you’re based.
About the Organization
A short description of your publishing house detailing who you are, what you publish, and what makes you distinct. This is the first thing visitors read when they land on your profile.
Links and Socials
Add your website and social media accounts so booksellers and librarians can find you outside of Covered.
| Field | What to enter |
| Website | Your full website URL (e.g., https://www.yourpress.com) |
| Twitter / X | Your handle, without the @ symbol |
| Your handle, without the @ symbol | |
| The full URL to your company page |
Any fields left blank simply won’t appear on your public profile.
Community
Add up to three (3) community or identity labels that describe your press. These help readers and trade partners who are looking for publishers with specific focuses or affiliations discover your catalogue.
Start typing to search available labels, or enter a custom label. Select up to three. These appear on your public profile as tags.
Directory Listing
Control whether your organization appears in the Covered publisher directory, where booksellers and librarians can browse and discover publishers.
On: Your organization is visible in the directory and discoverable by booksellers, librarians, and other users browsing the platform.
Off: Your organization is hidden from directory browsing. You can still share direct links to your profile, but you won’t appear in search results or browsed lists.
Most publishers leave this on. You might turn it off if your account is set up for internal testing or if you’re not yet ready to be discovered publicly.
Public Information
This section lets you publish company contacts and links or resources that booksellers and librarians will see when they visit your profile. You control exactly who can see each item.
Company Contacts
Add named contacts that booksellers and librarians can reach out to for specific purposes including publicity, ordering, rights, and more.
Click Add contact to create an entry. Each contact has three fields:
- Label: The role or department name (e.g., “Publicity & Media”, “Rights & Licensing”, “Sales & Ordering”).
- Description: A short note about what this contact handles (e.g., “Review copy requests, interviews, and press enquiries”).
- Email: The contact email address.
Click the X on any contact entry to remove it. Drag entries to reorder them to change how they appear on your profile.
Tip: Booksellers and librarians often look for a direct sales or ordering contact. If you have a distributor, you might point to them here rather than an internal inbox.
Links and Resources
Share documents, forms, and external links that are useful to your industry partners.
Click Add link to create an entry. Each resource has the following fields:
Type: Choose between a URL (an external link) or a File (upload a PDF or Word document). Files must be PDF, DOC, or DOCX and under 2MB.
Label: The display name for the link or document, as it will appear on your profile (e.g., “Spring 2026 Catalogue”)
URL or File: The link or uploaded file.
Visible To: Who can see this resource on your profile. Options:
| Visibility | Who sees it |
| Everyone | Any logged-in Covered user visiting your profile |
| Booksellers | Only users with a bookseller account |
| Libraries | Only users with a library account |
| Internal | Only members of your own organization; not shown publicly |
You can add up to 8 links and resources. Drag to reorder them.
Saving Your Changes
Changes in each section are saved independently. After editing a section, click the Save button for that section. You’ll see a confirmation when the save is successful.
Navigating away from the page without saving will prompt you to confirm whether you want to discard your unsaved changes.
Frequently Asked Questions
Can I change my organization’s name myself? No, the organization name is set during account setup and locked to prevent accidental changes. Contact Covered support to request a name update.
How long does it take for profile changes to appear publicly? Profile changes (logo, about text, links, contacts) appear on your public profile immediately after saving.
What’s the difference between Company Contacts and team members? Company Contacts are public-facing email addresses shown on your profile for booksellers and librarians to reach out to. Team members are people with Covered accounts who have access to your organization’s workspace. The two are managed separately.
